Sound familiar?

  • “You're busy and the bank account looks fine, but you can't tell which jobs made money”
  • “Materials bought on the company card get coded to the wrong job or no job”
  • “Subcontractor payments pile up without W-9s, and January becomes a 1099 scramble”
  • “Your bonding agent or bank wants a work-in-progress schedule you don't have”

How we set up your books

  • Job costing setup with QuickBooks Online Projects or classes
  • Labor, materials, and sub costs allocated to jobs every month
  • Progress invoicing, deposits, and retainage tracked correctly
  • Subcontractor W-9 collection and 1099-NEC e-filing
  • Equipment and vehicle tracking for depreciation
  • Work-in-progress and over/under billing reports for bonding and bank requests

Why do contractors need job costing in their bookkeeping?

A contractor's P&L can show a healthy profit while half the jobs lose money, because the winners cover the losers. Job costing fixes that. Every invoice, material purchase, sub payment, and labor hour gets tagged to a job, and at month end you see gross profit per project. Over a year, that tells you which job types, customers, and crews are actually profitable. Most contractors we onboard are surprised by what they find.

How do you handle deposits, progress billing, and retainage?

Customer deposits are recorded as liabilities until the work is done, not as income the day they're received, so your statements don't overstate profit early in a job. Progress invoices are tied to the job and matched to payments. Retainage receivable is tracked separately so you know what's owed to you after a job closes. All of this matters for cash-basis contractors at tax time and for anyone who's ever had a lender question their numbers.

What do bonding companies and banks want from a contractor's books?

A work-in-progress schedule showing contract value, costs to date, billings to date, and estimated cost to complete for each open job, plus reconciled financial statements and a debt schedule. We build the WIP schedule from the same job-costing data we maintain every month, so when your agent asks, the report is a day away, not a month.

Contractors & Trades: common questions

Do you work with contractors who use Buildertrend, Jobber, or ServiceTitan?

Yes. We use the software's QuickBooks integration where it's reliable and reconcile the sync every month so nothing gets duplicated or missed.

Should my construction company be on cash or accrual basis?

Smaller contractors often file on the cash basis, but for management purposes accrual job costing shows your real margins. We can keep accrual books in QuickBooks and provide your tax preparer with the cash-basis conversion at year end.

Can you help with Florida contractor licensing financial requirements?

Florida DBPR requires a credit report and, in some cases, financial statements for certain license categories. We can provide the reconciled statements; any compilation or review required by the board is a separate attestation engagement we'd refer you for.
