Sound familiar?

  • “Shopify and Amazon deposits are recorded as sales, so revenue is understated and fees are invisible”
  • “Inventory purchases are expensed when bought, so profit swings wildly month to month”
  • “Sales tax collected by marketplaces vs. collected by you is a mystery”
  • “Refunds, chargebacks, and returns aren't tracked, so margins look better than they are”

How we set up your books

  • Channel-by-channel reconciliation: gross sales, discounts, refunds, fees, and sales tax
  • Inventory tracked as an asset with monthly COGS adjustment
  • Gross margin reported by channel and, where useful, by product category
  • Marketplace facilitator sales tax separated from tax you must remit
  • Shipping income and expense, packaging, and fulfillment costs categorized
  • Advertising spend (Meta, Google, Amazon Ads) tracked against channel revenue

Why are Shopify or Amazon payouts the wrong number to record as sales?

A $10,000 Shopify payout might represent $12,000 in gross sales, minus $800 in refunds, $350 in processing fees, $500 in sales tax collected, and $350 in app fees. If you book the $10,000 as revenue, your sales are understated by 20%, your fees are invisible, and your sales tax liability is missing. We record each component from the channel's payout report, so your P&L shows what actually happened and your sales tax liability is correct.

How should an e-commerce business account for inventory?

Inventory purchases go to the balance sheet as an asset, not to expenses. Each month we adjust inventory and record cost of goods sold based on your inventory system (Shopify, Cin7, inFlow) or a monthly count. That gives you a stable gross margin instead of a P&L that shows a huge loss the month you restock and a huge profit the next. For smaller sellers under the IRS inventory thresholds, we'll discuss simplified methods with your tax preparer.

Who is responsible for sales tax on marketplace sales?

Since Florida's marketplace facilitator law took effect in 2021, Amazon, Etsy, eBay, and Walmart collect and remit Florida sales tax on sales through their platforms. Shopify does not; you remit tax on Shopify and in-store sales yourself. We separate the two in your books so your DR-15 reflects only what you owe directly. If you sell into other states, we'll help you track where you've crossed economic nexus thresholds.

E-Commerce & Retail: common questions

Do you use A2X, Synder, or similar connector apps?

Yes, where the volume justifies it. For sellers with multiple channels and hundreds of orders a month, a connector app that summarizes payouts correctly is worth its cost. For smaller sellers we record payout summaries manually.

Can you handle a store with both online and in-person sales?

Yes. Each channel (Shopify online, Square in-store, Amazon) is reconciled separately and reported as its own class so you can compare margins.

Do you track advertising ROI?

We track ad spend by platform against channel revenue, which gives you a monthly blended ROAS. Attribution at the campaign level stays in your ad platforms.
