Sound familiar?

  • “POS deposits hit the bank net of fees and tips, so sales never match what you rang up”
  • “You know prime cost matters but have never seen it calculated for your restaurant”
  • “Sales tax gets paid from whatever's in the account, and the filing never quite matches”
  • “Vendor invoices from Sysco, US Foods, and local suppliers pile up unentered”

How we set up your books

  • Daily sales summaries by category: food, beverage, alcohol, retail, catering
  • POS deposits reconciled to the penny, with processor fees and tips separated
  • Tip and gift card liabilities tracked until paid out or redeemed
  • Prime cost (COGS + labor) reported monthly as a percentage of sales
  • Florida sales tax tracked at the point of sale and reconciled to your DR-15
  • Vendor bills entered and A/P aging so you know who's owed what

What is prime cost and why should a restaurant track it monthly?

Prime cost is your cost of goods sold (food, beverage, paper) plus total labor (wages, payroll taxes, benefits), expressed as a percentage of sales. Full-service restaurants typically aim for 60–65%; quick service and bars can run lower. It's the single number that tells you whether a restaurant is viable, and it changes week to week with pricing, waste, and scheduling. We report it every month with a trend line, so a bad month shows up before it becomes a bad quarter.

How do you reconcile Toast, Square, or Clover to the bank?

Each processor gets a clearing account in QuickBooks. Daily sales are recorded gross by category, with sales tax, tips, and gift cards as liabilities. When the processor deposits net of fees a day or two later, we match it to the clearing account and record the fee. The clearing account should reconcile to zero every month; when it doesn't, we've found a missed deposit, a chargeback, or a processor error, which is exactly what you'd want caught.

Do you handle Florida sales tax for restaurants?

We track sales tax collected as a liability from day one, reconcile it to your POS reports, and prepare your monthly or quarterly DR-15 figures. Duval County's combined rate is 7.5% at the time of writing; we keep the rate current in your POS and books. Where alcohol, catering, or delivery platforms create edge cases, we document how each is treated so an auditor sees a consistent method.

Restaurants & Bars: common questions

Do you work with DoorDash, Uber Eats, and Grubhub payouts?

Yes. Third-party delivery payouts are recorded gross with commissions as an expense, so your sales and marketing costs are both accurate. Marketplace facilitator sales tax rules are applied so you're not double-remitting.

Can you handle multiple locations?

Yes. Each location is tracked as a class or location in QuickBooks so you see a P&L per store plus a consolidated view.

How do you handle tips and tip credit payroll?

Credit card tips are recorded as a liability when collected and relieved when paid out through payroll or cash. We reconcile the tip liability monthly and coordinate with your payroll provider on tip credit reporting.
