Sound familiar?

  • “Your practice management system and QuickBooks don't agree, and nobody knows which is right”
  • “Trust account reconciliations are overdue and the Florida Bar audit letter could come any time”
  • “Insurance deposits arrive as lump sums that don't match individual patient balances”
  • “Partners want to know their draws and profit share, and the answer takes weeks”

How we set up your books

  • Monthly three-way IOLTA trust reconciliation for attorneys
  • Practice management or EHR deposits reconciled to the bank
  • Retainers and prepayments tracked as liabilities until earned
  • Owner and partner compensation, draws, and distributions tracked separately
  • Malpractice, licensing, CE, and dues tracked for deductions
  • Monthly financials with revenue by provider, attorney, or service line

What does trust accounting require for Florida attorneys?

Rule 5-1.2 of the Rules Regulating The Florida Bar requires monthly reconciliation of the trust account bank statement, the trust ledger, and the individual client ledgers, with the three agreeing. Records must be kept for six years. We perform the three-way reconciliation each month, maintain client ledgers in your practice management software or QuickBooks, and document the reconciliation so a Bar audit is a file you hand over, not a crisis.

How do you reconcile insurance payments for a medical or dental practice?

Insurance EOBs and ERAs rarely match a single patient visit; they batch dozens of claims into one deposit with adjustments and write-offs. We record revenue from your practice management system's production and collection reports, reconcile deposits to the bank, and track contractual adjustments separately from bad debt so your collection rate is meaningful. Patient refunds and credit balances are tracked as liabilities.

Can you report profitability by partner, provider, or service line?

Yes. Using classes in QuickBooks Online, we attribute revenue and direct costs to each attorney, provider, or service line and allocate overhead on an agreed basis. Partners get a monthly view of their contribution, and the firm gets a defensible basis for compensation decisions.

Are you familiar with S corp reasonable compensation for professionals?

Yes. For S corp practices, we track officer salary and distributions separately and flag when the ratio looks aggressive so you and your preparer can discuss it before year end.
