Sound familiar?

  • “Rents, mortgages, and repairs for six properties all run through one bank account”
  • “Security deposits were counted as income and now the balance sheet is wrong”
  • “A $15,000 roof was expensed instead of capitalized, and your preparer caught it late”
  • “Airbnb payouts net out cleaning fees and platform charges, so revenue is understated”

How we set up your books

  • Each property tracked as a class, or each LLC with its own books
  • Rent roll reconciled to deposits; late fees and vacancies visible
  • Security deposits and prepaid rent held as liabilities
  • Capital improvements vs. repairs classified for depreciation
  • Mortgage payments split between principal, interest, and escrow
  • Short-term rental platform payouts grossed up; tourist development tax tracked
  • Agent commission income, splits, and brokerage fees tracked by transaction

How should a real estate investor set up bookkeeping for multiple properties?

If all properties are held in one entity, we use QuickBooks Online classes so each property gets its own P&L while the balance sheet stays consolidated. If each property is in its own LLC, each needs its own set of books, because mixing them undermines the liability protection the LLC was created for. Many investors land in between: one QuickBooks file per entity, with classes for the properties inside it. We'll map your structure during onboarding.

What's the difference between a repair and a capital improvement?

A repair keeps the property in its current condition and is deducted in the year paid: fixing a leak, replacing a broken window, repainting. A capital improvement adds value, extends useful life, or adapts the property to a new use, and is depreciated over years: a new roof, HVAC replacement, an addition, a full kitchen remodel. The IRS safe harbors and de minimis rules make the line more nuanced, and your tax preparer makes the final call, but we classify each transaction with notes so they have what they need.

Do you work with short-term rental operators?

Yes. Airbnb and VRBO payouts are recorded gross, with host fees, cleaning fees, and platform-collected taxes broken out. Florida sales tax and Duval or St. Johns County tourist development tax are tracked as liabilities, and we reconcile what the platforms remit on your behalf to what you owe directly. Each unit is a class, so you see which rentals perform.

Real Estate: common questions

Can you work with my property management software?

Yes. We work with AppFolio, Buildium, Rent Manager, and TenantCloud, using their QuickBooks exports or integrations and reconciling the trust account every month.

Do you handle trust or escrow accounting for property managers?

We maintain the trust account ledger and three-way reconciliation (bank, ledger, tenant balances) required for Florida property managers holding tenant funds.

I'm a real estate agent. Is this overkill for me?

Agents with commission income, marketing spend, and vehicle expenses are a great fit for our smallest tier. Clean books mean you capture every deduction and your quarterly estimates are right.
